Post-call instructions

Once the call has ended, an agent reads what was said and follows your instructions: notify your team, write to the prospect, post on Slack, record the call in your CRM. When nothing matches the call, it does nothing.

You write these instructions in plain language, as you would brief a human assistant. This page explains how to write them, lists every available action and gives examples ready to copy.

How it works

  1. 01

    The call is over for good

    Once per call, when no more attempt is planned: never between two attempts. Details just below.

  2. 02

    The agent reads the call

    The transcript, the outcome, the summary, the collected information, the call's variables and what was already done during the call (an SMS sent, a meeting booked, a transfer).

  3. 03

    It applies your instructions

    For each instruction whose condition is met, it uses the action you named. The others are skipped.

  4. 04

    You see what it did

    Every action shows up in the call details, successful or not, with its recipient.

When the instructions run

A call can take several attempts (voicemail, no answer, callback requested). The post-call instructions run only once, on the last attempt, when the call is over.

Someone picks up and the conversation happens
Right after that attempt.
Voicemail or no answer, with more attempts planned
Nothing yet: the call is tried again as set in the Scheduling tab.
Voicemail or no answer on the last planned attempt
After that last attempt, once. That is where an "I could not reach you" text belongs.
The prospect asks to be called back later
Nothing before the callback: they run after the callback call. If no attempt was left, right after this call.
The prospect hangs up
Right after: the call is not tried again.
Inbound call
After every call received.
Someone on your team took over the call, or it was transferred to a human
Never: whoever ran the call already knows how it went. Only the webhook is sent.

Writing good instructions

One instruction per line: a condition, then an action

The agent follows each line on its own. A call that meets no condition triggers nothing, which is the expected result.

If the prospect booked a meeting, notify sales@mycompany.com with @notify_team_by_email.

Name the action with @

Type @ in the editor to see the list. Without @, the agent does not know which action to use: it can only act through them.

Put an exact text in quotes

It is sent word for word. Without quotes, the agent writes the message itself, in the language of the call, from facts of the call only.

If nobody picked up, send with @send_sms: "Hi, this is Julie from Revox. I will call you back tomorrow morning."

Say who receives each message

An address for each team email, a channel for each Slack or Teams message. The recipient can depend on the call.

If the call is about billing, notify billing@mycompany.com with @notify_team_by_email. Otherwise, notify support@mycompany.com.

Conditions can be about anything in the call

The outcome, but also what was said ("if they mentioned a competitor") or a collected field ("if the budget is over $10,000").

Nothing is done twice

An action already taken during the call (an SMS sent from the prompt, a booked meeting, a transfer) is never repeated afterwards.

Variables

Written between double braces, they are replaced by their value before the agent reads your instructions. Three sources, all available:

{{first_name}}, {{company}}, {{city}}…
The call's variables (prompt variables): the ones sent with the call, by the campaign file or the API. The same as in the system prompt, under the same names.

If the prospect is interested, notify {{sales_rep_email}} with @notify_team_by_email, reminding them that {{first_name}} is from {{company}}.

{{outcome}}
The call outcome, as the dashboard shows it (for example "Qualified").
{{outcome_summary}}
The call summary.
{{field_name}}
Each collected field ("Collect information" tab), by its name: {{budget}}, {{callback_date}}…

The agent also sees all these values without braces, along with the contact's name and email: a condition can read "if the city is Paris" without {{city}}. When a collected field has the same name as a call variable, the collected value wins.

Available actions

Everything the agent can do after the call. Type @ in the editor to insert them.

@send_emailAt most 3 per call

Email the prospect

Sends an email to the person the assistant spoke with. It holds only the subject and the text you ask for: no report, no link to the call.

  • Always available
  • Goes to the contact's known address, or the one they gave during the call. Never to any other address: for your team, use @notify_team_by_email.
  • You can set the sender name (your company) and a reply-to address.
  • Can attach a calendar invite for the callback agreed during the call.

Examples

If the prospect asked for the brochure, use @send_email to send them an email titled "Your Revox brochure" with the link https://mycompany.com/brochure. Sign it "The My Company team", reply-to contact@mycompany.com.

If a meeting was booked, send the prospect a confirmation email with @send_email with the date, time and address of the meeting, and attach the calendar invite.

@notify_team_by_emailAt most 5 per call

Notify your team by email

Sends the call report to one or more addresses in your team, which can depend on what was said.

  • Always available
  • Default subject: "outcome: contact name".
  • Holds the contact, the outcome, the collected information, the summary and a link to the call in the dashboard. You can leave a part out or change the subject.
  • Can attach a calendar invite for the callback agreed during the call.

Examples

If the prospect is interested, notify sales@mycompany.com with @notify_team_by_email, with their need and the best time to call them back.

If the caller has a billing issue, notify billing@mycompany.com with @notify_team_by_email. If it is a delivery issue, notify shipping@mycompany.com.

@send_smsAt most 3 per call

Text the prospect

Sends a text under 300 characters to the person on the call, in the language of the call.

  • Always available
  • Always to the call's number: the one called outbound, the caller's inbound.
  • Not available on browser test calls, which have no number.
  • Also usable during the call, from the system prompt.

Examples

If nobody picked up, send with @send_sms: "Hi, this is Julie from My Company. I tried to reach you, I will call you back tomorrow."

If a meeting was booked, text the prospect the date and time with @send_sms.

@post_slack_messageAt most 5 per call

Post on Slack

Posts a message in one of the Slack channels connected to the assistant.

  • Connect Slack and choose channels in the Team alerts tab
  • Name the channel in the instruction (#sales): the agent can only post in the channels you chose.
  • Revox adds the assistant's name and a link to the call.

Examples

After every call where the prospect is interested, post their name, company and the call summary in #sales with @post_slack_message.

If the caller is unhappy, post what went wrong in #support-urgent with @post_slack_message.

@post_teams_messageAt most 5 per call

Post on Microsoft Teams

Posts a message in one of the Teams channels connected to the assistant.

  • Connect Microsoft Teams and choose channels in the Team alerts tab
  • Name the channel as "Team / Channel".
  • The message is posted under the Microsoft account that connected Teams. Revox adds the assistant's name and a link to the call.

Examples

If the prospect is interested, post a short summary in Sales / Leads with @post_teams_message.

@crm_push_callAt most 1 per call

Record the call in the CRM

Creates or updates the contact from their number in Zoho or HubSpot, and attaches the call with its outcome, summary, collected information and recording.

  • Connect Zoho CRM, or HubSpot with post-call sync on, in the Integrations tab
  • You can add a note.
  • With HubSpot and post-call sync on, the call is recorded by itself whenever someone picked up. If your instructions mention the CRM, they decide instead.

Examples

After every call someone answered, use @crm_push_call with a two-sentence note: the prospect's need, then the next step.

Only record interested prospects in the CRM with @crm_push_call.

Which email to use

There are two email actions, and the choice depends on who reads the email. The internal report and the link to the call never reach the prospect.

Outbound prospecting

An assistant that qualifies leads and books meetings.

If a meeting was booked, notify sales@mycompany.com with @notify_team_by_email, and send the prospect a confirmation email with @send_email with the date and time, attaching the calendar invite. If the prospect is interested but did not book, post their name, need and when to call back in #sales with @post_slack_message. If nobody picked up, send with @send_sms: "Hi, this is Julie from My Company. I tried to reach you about your request, I will call you back tomorrow." After every call someone answered, record the call in the CRM with @crm_push_call.

Inbound switchboard

An assistant that answers customers and routes each request to the right team.

If the call is about an invoice or a payment, notify billing@mycompany.com with @notify_team_by_email. If the call is about a delivery, notify shipping@mycompany.com with @notify_team_by_email. For any other request, notify support@mycompany.com with @notify_team_by_email. If the caller asked to get information by email, send it to them with @send_email, signed "My Company customer service".

Abandoned sign-up follow-up

An assistant that calls back people who did not finish signing up.

If the person wants to finish signing up, send them an email with @send_email titled "Finish your sign-up" with the link https://mycompany.com/signup and one sentence about what was blocking them. If the person is no longer interested, do nothing. If voicemail picked up, send the link https://mycompany.com/signup and the company name with @send_sms.

FAQ

The agent did nothing after my call. Why?
No condition was met, or the action was not named with @. Open the call details: they show what the agent did, or why it did nothing.
My prospect received an email with the call report.
That is the content of @notify_team_by_email, meant for your team only: this action refuses the contact's address. To write to them, use @send_email.
@send_email was refused.
The contact has no known email address and gave none during the call, or the requested address is not theirs. Add the email to the campaign data, or have the assistant ask for it during the call and collect it (Collect information tab).
My Slack or Teams action does not show up when I type @.
It is offered once the workspace is connected and at least one channel chosen, in the assistant's Team alerts tab.
Do the instructions run for voicemails?
Yes, but only on the last planned attempt: a voicemail on the first attempt triggers nothing, the call is tried again. If an instruction is only about conversations, say so in the condition: "if someone picked up…".
